You can invite people to WeaselWorks straight from WordPress. WeaselWorks creates their account, emails them a link to choose a password, and takes them straight into their Workspace. You never have to make accounts by hand or share passwords.
In short: to invite people to WeaselWorks, open the Workspace in WP Admin › WeaselWorks, go to its Members tab and click Add People. Only WordPress administrators can add people.
Three Ways to Invite People to WeaselWorks
| Choice | Best for | What you enter |
|---|---|---|
| New Person | One new teammate (the default) | First name, last name, email and Workspace Role |
| Several New People | A whole team at once, up to 100 | One person per line, such as "Sam Lee, sam@example.com" |
| Already on This Site | People who already have an account | Search for them and add them |
If an email address already has an account, WeaselWorks uses that account instead of making a second one. New people get the WeaselWorks role, which lets them sign in and use WeaselWorks and nothing else on your site.
Tip: when you invite people to WeaselWorks, add a Personal Note, such as "Welcome aboard! Start with the Launch Board." It appears in the email and in Copy Invitation.
Send the Invitation or Copy It
When you invite people to WeaselWorks, leave Email the invitation now switched on and WeaselWorks sends it for you. Switch it off to get Copy Invitation: the same message, ready to paste into your own email or chat.
New Person Gets
- A "You're invited" email
- A Set Up My Account button
- A page to choose a password
- Straight into their Workspace
Existing Account Gets
- A "You've been added" email
- A button named after the Workspace, such as Open Marketing
- No new password needed
- The sign-in they already use
When a Link Expires
The set-up link works for as long as your site's WordPress password links do, which is 24 hours by default, and the email says so. After that, the person can open the link anyway and choose Send Me a New Link, or you can use Resend on the Members tab to send a fresh link, which also cancels the old one. You can follow everyone's progress in the Account column.
Watch out: invitation emails only arrive if your site can send email reliably. If they go missing, see Notification Emails Aren't Arriving and consider a mail plugin such as WP Mail SMTP.
Common Questions
Are emails sent the moment I add someone?
Only if Email the invitation now is switched on. WeaselWorks never sends an invitation by itself: only when an administrator adds or resends, or when the person asks for a new link.
Can I change the invitation wording?
Yes. Edit it in WeaselWorks › Emails. See Editing the Emails WeaselWorks Sends.
Does removing someone delete their account?
No. Removing someone from a Workspace keeps their WordPress account. If they still own open tasks, WeaselWorks asks who should get them: leave them unassigned (the default), give them to another member, or keep them assigned.
